Commercial Filming and Photography: Booking Procedures


  1. Scouting: Set up an appointment to scout and photograph the specific areas of the property you may require.
  2. Preliminary Holds and Approvals: After the scout, you may place holds on specific areas and dates. Preliminary approvals will still be required. During this time, The Huntington site representative will check for any possible institutional conflicts.
  3. Begin Contract Process: Once you have the preliminary approval of your date(s), location(s), and the general nature of your project, we can begin the contract process (see below.)
  4. Final Approvals: In order to receive final approval for your project, you will need to provide The Huntington with a full description of the planned work—vehicles and equipment to be brought in, number of personnel and vendors, detailed content and action of the scene(s), special effects, etc., to be able to accurately describe and seek internal approvals.
  5. Tech Scout: Set up a tech scout to discuss placement of equipment, set dressing, cabling plans, generators, and other production vehicles. A separate transportation scout is strongly recommended. Tech scouts are generally not required for Still Photoshoots.
  6. Complete Contract Process and Required Paperwork: Before production begins, The Huntington must have the following:
    1. Signed Huntington Location Agreement
    2. Payment to The Huntington Library for the full location fee
    3. Payment to The Huntington Library for the refundable security deposit
    4. Payment for permit for the City of San Marino
    5. Certificates of insurance for $2,000,000 for both The Huntington and the City of San Marino, naming each as additional insured
